As Office of the CEO Coordinator, you will be responsible for administrative support to the Senior Executive Officer and Board Secretariat team in both day-to-day administrative activities, practice management and enhancement of the team’s systems and processes

In this role, you’ll be responsible for but not limited to:

  • Executive Support & Coordination: Manage the flow of information, decisions, and actions across the CEO’s office; support the Senior Executive Officer with high-quality briefings, reports, and presentations.
  • Board & Committee Liaison: Coordinate with the Board Secretariat to prepare and distribute Board and Committee papers; assist with logistics and provide coverage for the Board Coordinator as needed.
  • Travel & Financial Administration: Book travel and accommodation for the CEO and Senior Executive Officer; reconcile ExpenseMe Pro transactions and manage invoice payments.
  • Office & Event Logistics: Oversee office-related functions including catering orders, room bookings, and tracking due dates for reports and scheduled activities.
  • Confidentiality & Time Management: Handle sensitive information with discretion and sound judgement; manage competing priorities with strong time management and attention to detail.

You

  • Qualifications or Experience in business or office administration, or equivalent high-level administrative experience.
  • Strong organisational skills with the ability to manage competing priorities and adapt to change.
  • Excellent relationship-building skills across all levels of the organisation.
  • Discretion and confidentiality in handling sensitive information.
  • Process improvement mindset with strong analytical thinking.
  • Ability to work independently and collaboratively, with high attention to detail.
  • Advanced digital literacy, especially in Microsoft Office and the ability to learn new systems quickly.
  • Experience supporting executive-level stakeholders, including Boards and senior leaders.
  • Financial and travel coordination skills, including managing purchase orders and complex itineraries.
  • Exceptional communication skills, both written and verbal, with professional presentation.
