The Role & The Team

The Aviation Rescue Fire Fighting Services NexGen, Facilities and Environment Portfolio will deliver critical investment into our facilities, sustainability initiatives, and service delivery to support better outcomes for our people, our customers, the industry, the community, and the environment.
The Program Coordinator supports project delivery within governance frameworks, managing schedules, reports, budgets, approvals, and procurement.
In this role you will support the Program Director and Stream Leads in achieving program goals by handling administrative tasks efficiently. Stay ahead of needs to ensure everything runs smoothly and on time. Arrange travel and book flights through the travel system, and manage the Program Director’s calendar, scheduling meetings and appointments.
In this role, you will manage the program budget and track spending. You will schedule meetings, prepare reports, take notes, and follow up on tasks. You are also responsible to ensure important documents organized, like schedules, budgets, and milestones, ensuring they are up to date. Additionally, you will monitor program connections and assist with procurement tasks in SAP ARIBA, answering simple questions and escalating issues when needed.

The Person
The successful candidate will have:
- Strong program and project coordination skills with knowledge of governance frameworks, along with the ability to work independently and manage multiple priorities effectively.
- Excellent interpersonal, negotiation, and conflict management skills, combined with strong decision-making, problem-solving, and research abilities to develop effective solutions.
- Strong stakeholder engagement with exceptional written and verbal communicational skills
- Relevant project management experience or qualifications (desirable), with experience using Project Server, Microsoft Project, or similar tools.
