The Role & The Team
Airservices Australia is embarking on a transformation journey, with the Office of the COO playing a central role. The COO function is structured around four key areas: Enterprise Portfolio Management, Shared Services, Facilities & Property and Transformation, Facilities and Environment.
As the Executive Assistant, you will deliver high-level administrative support to the Chief Operating Officer while also providing coordination and business support to the broader team. You will work closely with the Executive Officer and the broader COO admin team to ensure the COO is a well-managed function that effectively and efficiently adheres to all enterprise governance systems, policies and processes.
In this role, you will support the efficient operation of the COO Office, including but not limited to strategic diary management, meeting coordination, team communications, stakeholder engagement, document preparation, facilitating requests for information and supporting onboarding of new team members. You will also support continuous improvement projects within the COO function, developing systems and processes to enhance workflow and drive operational efficiency.
You will be responsible to arrange travel and accommodation, manage ProMaster reconciliations, and review reports. This role also requires you to develop and maintain organized filing systems for confidential, classified, and commercial-in-confidence documents, as well as staff and organizational records.

The Person
The successful applicant will have:
- Extensive experience in providing high level executive support to a senior leader in a demanding, dynamic, complex and fast paced environment including demonstration of highest levels of confidentiality and integrity at all times.
- Superior communication, written and oral skills with excellent attention to detail.
- Strong organisational and problem-solving skills with the ability to handle multiple tasks and the demonstrated ability to organise and prioritise while being able to easily pivot as needs arise
- Demonstrated experience in establishing and continually improving systems and procedures to monitor and control workflow and ensure governance requirements are met.
- High level of computer literacy with proficiency in Microsoft Office including Word, PowerPoint, Excel, Teams, and multiple Outlook accounts (Essential)
- An energetic style, be comfortable with ambiguity and a great sense of humour!
- Qualifications: Business Administration or Office Management Qualifications (desirable) or extensive commensurate experience
